We are seeking a detail-oriented and reliable Payroll Specialist to manage and execute weekly and bi-weekly payroll processes. The ideal candidate will ensure the accurate and timely completion of payroll duties, maintain employee records, and support compliance with tax and benefits requirements. This position plays a key role in upholding our commitment to operational excellence, confidentiality, and exceptional internal service. Key Responsibilities: Process and maintain new hire and employee transactions in the payroll system. Collect, calculate, and enter data to maintain accurate payroll information. Update payroll records for changes in exemptions, insurance, deductions, job titles, departments, and employment status. Prepare and compile reports on earnings, taxes, deductions, paid leave, disability, and non-taxable wages. Process 401(k) deductions, company match, profit sharing, and non-qualified contributions; submit files to Fidelity Investments. Disburse payments including garnishments, levies, child support, union benefits, FSA, HSA, and other third-party deductions. Ensure timely submission of State, Local, and Federal taxes via ADP. Resolve payroll discrepancies by researching and analyzing relevant data. Maintain and improve payroll processes, documentation, and systems. Serve as the first point of contact for payroll-related inquiries from employees. Support internal and external audits related to union benefits, 401(k), and workers’ compensation. Ensure secure and confidential handling of employee and payroll information. Provide backup support for other payroll-related functions as needed. Required Qualifications: Strong data entry and analytical skills. Excellent attention to detail and organizational abilities. Ability to handle confidential information with discretion. Sound knowledge of general math and payroll calculations. Proficient with payroll systems; experience with CMiC and/or ADP Smart Compliance is a plus. Excellent written and verbal communication skills. Strong client-service orientation and ability to support internal teams. Prior experience with union payroll is highly preferred.
